Privacy Policy
This policy explains what we collect when you book a class with DocDesk Academy, why we hold it, and what you can ask us to do with it.

Who we are
DocDesk Academy provides live, one-to-one WACE Biology tutoring to students in Western Australia. Classes are taught by Dr. Kshama Singh from New Delhi, India, and scheduling and support are handled by our coordination team. What we collect
- Account details — the student's name, email address and phone number, used to create and secure the account.
- Parent or guardian details — name, email and phone. We hold these because the guardian is the person who books, pays and reschedules, and because our free-trial rule is one per student account.
- Year level — Years 9 to 12. The rate charged depends on the year band, so we cannot price a class without it.
- Booking history — the classes booked, attended, rescheduled, missed or cancelled, and any class credits held.
- Payment records — the amount, currency, method and a reference. We never see or store card numbers. Card and PayPal details are handled entirely by the payment provider. Bank transfers reach us as an ordinary deposit with a reference.
- Class recordings — where a class is recorded, that recording includes the student's voice and, if their camera is on, their image.
- Technical data — a session cookie so you stay signed in, and standard server logs.
Why we hold it
To schedule and run classes, to take payment for them, to apply the cancellation policy fairly, to give students their recordings, and to answer questions when something goes wrong. We do not use any of it for advertising, and we do not sell it.
Children's information
Most of our students are under 18. Accounts are opened and managed with parent or guardian involvement, and we ask for guardian contact details at the point of booking. A parent or guardian may ask to see, correct, or delete their child's information at any time by emailing us.
Class recordings
Classes are recorded so students can rewatch them. A recording is visible only to the students who were booked into that class — nobody else can open it, including other DocDesk students. Recordings are stored with our video provider and are not published anywhere public. If you would prefer your child's classes not be recorded, tell us before the class and we will turn recording off for that session.
Who else sees your information
Only the services needed to deliver a class:
- Video providers (Google Meet, Zoom or Microsoft Teams) — to host the live class.
- Payment providers (PayPal, Razorpay, or our bank) — to process payment. They handle card data under their own terms.
- Email delivery — to send booking confirmations, reminders and recording notices.
- Our hosting provider — which stores the site and its database.
Because Dr. Singh teaches from India, class scheduling information is accessed from outside Australia. We do not otherwise transfer your information overseas.
How long we keep it
Account and booking records are kept while the account is active and for seven years afterwards, which is the period Australian record-keeping expectations apply to financial transactions. Recordings are kept while they remain useful for revision and are removed on request. Ask us to delete your account and we will remove everything we are not legally required to keep.
Your rights
You may ask us to show you what we hold, correct anything that is wrong, delete your account, or send you a copy of your data. Email hello@docdeskacademy.com and we will respond within 30 days. If you are unhappy with how we have handled a privacy matter, you may complain to the Office of the Australian Information Commissioner.
Security
The site runs over HTTPS, passwords are stored hashed and never in readable form, and class links are never printed into a page — students click through a checked redirect so a link cannot be forwarded to someone who did not book.
Changes
If this policy changes we will update this page and the date at the top. Material changes affecting how we use your information will also be emailed to account holders.
